Smart Turnover (the Android and iPhone apps and smartturnover.com) helps property managers and tenants record move-in and move-out inspections, cleaning checklists and deposit summaries. This policy explains what we collect, why, and the choices you have.
What we collect
- Account details: your name, email address and company name. If you sign in with Google or Apple, we receive your name and email from them. We never see your Google or Apple password.
- Inspection records: property addresses, unit numbers, room and item conditions, notes, counts (such as keys and remotes), signatures, and the photos and videos taken during a walkthrough.
- Tenant and contact details that a property manager enters, such as tenant names, email addresses and phone numbers, so inspection links and reports can be sent to them.
- Location (app only, optional): if you allow it, the app uses your phone's location once to suggest the address you're standing at. We don't track your location in the background.
- Spoken walkthroughs (optional): if your company turns it on for you, you can describe damage out loud instead of typing it. We keep the recording, the text of what was said, and the costed lines produced from it, so the report can be checked against your own words later.
- Billing: subscriptions are handled by Stripe. We store your subscription status, not your card number.
How we use it
- To run the service: store and sync inspections between the app and website, build reports and comparisons, and send the emails and texts you ask us to send.
- To keep accounts secure and prevent abuse.
- We don't sell personal information and we don't use it for advertising.
Who we share it with
Only the service providers that run Smart Turnover for us, each for its own part:
- Supabase (database, sign-in and server functions)
- Cloudflare (website hosting and photo/video storage)
- Google (Google sign-in and address suggestions) and Apple (Sign in with Apple)
- Stripe (payments), Resend (email) and Twilio (text messages)
- Deepgram (turning a spoken walkthrough into text) and Anthropic (turning that text into a draft list of damage and costs) — used only when somebody records a spoken report, and only for that recording
A recording is sent to be transcribed and the transcript is sent to be written up. Neither is used to train anyone's models, and nothing is sent to either of them unless a representative records a walkthrough.
Inside a company account, records are visible to that company's members. Tenants see only the walkthroughs and checklists shared with them. We may disclose information if the law requires it.
How long we keep it
Inspection records are kept while the company account is active so they're available for deposit disputes. A company can delete its records, and you can ask us to delete your account at any time.
Your choices
- You can view and correct your information in the app or on the website.
- To get a copy of your data or delete your account, email us at the address below.
- You can turn off location access for the app in your phone's settings at any time.
Security
Data is sent over encrypted connections, and each company can only reach its own records. No system is perfectly secure, so please use a strong password and keep your devices locked.
Children
Smart Turnover is meant for adults and isn't directed to children under 13.
Changes
If we change this policy we'll update the date above, and tell account owners about important changes.
